8 Speed Bumps to Consider When Setting Up Warranty & Repairs Management in NetSuite

This is part 2 of the Warranty and Repairs Management in NetSuite blog series. My first blog covered detailed instructions about how to set up Warranty and Repairs Management and all the great things that NetSuite can do. Once you've completed those 4 steps, you're almost ready to use NetSuite. 

Here are a few speed bumps to look out for as you go through this process:

  • This can be used only for inventory and/or assembly items.

  • SuiteApp assumes that every sales order has a corresponding invoice.

  • Make sure you register items for warranty before the sales order and invoice are generated.

  • Backorder items don’t work with warranty registration because the quantity field cannot be blank or zero.

  • Warranty fields will appear automatically on sales transactions and populate once an invoice is created for:
    • Register Warranty
    • Warranty Terms
    • Original Warranty Expiration

  • Support case records with the Warranty Claim form must be submitted through the NetSuite user interface.

  • Warranty claims processing supports partial returns and repairs for the same item within the sales transaction.

  • NetSuite issues credit memos when processing a refund claim.

NetSuite SuiteApps typically come with pre-built custom fields, custom forms, workflows that associate different record types together, and templates. Items can be configured by a systems administrator to better align with business practices.

For example, the warranty fields on the sales order and invoice records appears by default once the SuiteApp is installed.  However, an organization might want to designate the display of these fields for NetSuite roles that are primarily responsible for warranty and repairs information. In that case, a custom form can be created where only a specific NetSuite role can see this form or is the role’s preferred form.
