Discrepancy between Location Available Quantity and Available Serial Quantity

It is critical to have accurate inventory for your warehouse in order to stay competitive and it is frustrating to see the inventory discrepancy within the system. You might have encountered the situation where the quantity available in the location differs from the quantity available in the serial lot. I’ll share a quick fix when the Advance Bin Management is turned off and inventory quantity mismatch occurs in Netsuite.

For example, Advanced Bin Management is turned off and a serial inventory item has location: available quantity of 5 and inventory number: available serial quantity is 10. A mismatch of 5 available serial numbers has occurred.

This happens when serial is changed in the item receipt after the item fulfillment has been already processed using the same serial.

  1. Item Receipt A = Received 1 Serial 123
  2. Item Fulfillment A = Fulfilled 1 Serial 123
  3. Edit Item Receipt A = Change Serial 123 to Serial 789

In results, the serialized item record indicates:

  1. Location: ABC - Available Quantity = 0
  2. Inventory Numbers: Available Quantity: 1 Serial 789

And later, you realize that the inventory mismatch has occurred, and you can’t locate the original serial number that was received. Since the qty of Serial 123 is -1 which is hidden, you will not able to see this, but it can be found via Saved Search.

  1. Navigate to Reports > Save Searches > All Saved Searches > New
  2. Search Type = Item
  3. On Criteria subtab, please add:
  4. Is Serialized item > is true
  5. Name = has keyword > (item name)
  6. Inventory Number Fields... > On Hand = less than 0
  7. On Results subtab, please add:
    1. Name
    2. Serial/Lot Number
    3. Inventory Number Fields... > Location
    4. Inventory Number Fields... > On Hand
  8. Name the Item Saved Search
  9. Save

After you have identified the mismatch and to correct the discrepancy, you will have two options.

  1. Return the original serial (123) to the Item Receipt
    1. Edit the Item Receipt A and update Serial 123

OR

  1. You will have to create a positive adjustment for Serial 123 and a negative inventory adjustment for the Serial 789.
