Feature Overview: Lot and Serial Number Trace

For any company producing and selling edible products, being able to trace a lot number’s usage and history is a critical need given regulatory requirements by the government. Tracing where a lot number has been used must be done quickly and efficiently in the event of a recall. Failing to produce this information in a timely fashion can be devastating to a business.

In many cases, the product must be traced from procurement through to the end customer. Fortunately, NetSuite’s Lot and Serial Number Trace SuiteBundle provides an interface where lot numbers or serial numbers can be entered and used to search the NetSuite database to determine where a lot number has been used. 

Installing Lot and Serial Number Trace

To install the bundle, you’ll need to have the following features enabled: 

    1. Locations
    2. Multiple Units of Measure
    3. Inventory
    4. Serialized Inventory (required for serial number trace)
    5. Lot Tracking (required for lot trace)
    6. Bin Management
    7. Advanced Bin/Numbered Inventory Management
    8. Customer Relationship Management
    9. SuiteAnalytics Workbook
    10. Custom Records
    11. Client SuiteScript
    12. Server SuiteScript
    13. SuiteFlow

In most instances, these features will likely be enabled but be sure to verify to avoid any issues during installation. With the features enabled, install the bundle which you can locate with bundle ID 322956

Once the bundle has been installed, add the necessary permissions to your custom roles: 

    1. Navigate to Setup > User/Roles > Manage Roles
    2. Next to the role, click Edit
    3. Configure the following permissions: 
      1. Lists > Subsidiaries
      2. Lists > Items
      3. Lists > Custom Record Entries
      4. Custom Record > Trace Preferences
      5. Custom Record > Trace-Grid

Using Lot and Serial Number Trace

After completing setup, the feature can be used, and the functionality becomes available. To access the lot trace page, navigate to Reports > Lot / Serial Trace > Lot Trace. 

On the Lot Trace, set the following: 

    1. Subsidiary
      1. Optional setting that allows you to filter results by subsidiary. 
    2. Location
      1. Optional setting that allows you to filter results by location. 
    3. Start Date
      1. Optional setting that allows you to specify a starting date range. 
    4. End Date
      1. Optional setting that allows you to specify an ending date range. 
    5. Item
    6. Lot Number
    7. Show Transaction Display Settings
      1. Optional setting which allows you to look for specific types of transactions. 
    8. Click Submit

After you click submit, NetSuite will present you with the results page. This page will contain several tabs which represent the various transaction types in NetSuite. Click each tab to see any corresponding transactions for the entered lot number, if applicable. From this page, you can also jump into the specific transaction to review transaction details. 

Powerful Traceability, Export for Regulatory Compliance, and Efficient Recalls

Note that you can export the entire set of data, or a specific tab’s data by clicking the Export All or Export buttons respectively. Results can be exported into CSV format and can be sent to multiple email addresses. This way, you can quickly trace a lot number and identify all transactions where that lot number was used and then export that data to any relevant parties.
