Non For Profit: SuiteKeys - Shortcut for Filling in Segmentations

A challenge for Non For Profit NetSuite Clients are the numerous segmentations that can be applied in a transaction. A Donation, Pledge, or Grant record could require multiple segmentations to help the Client manage funds that are coming into the organizations; many funds have specific applications or restrictions on how it can be used. If used improperly, it can cause Client to lose the funds. SuiteKey is designed specifically to help the User more efficiently enter data on a transaction level.

Some common segmentations for Non For Profit Clients are listed below. These can all be customized to fit your organization's needs.

• Restriction
• Fund/Program
• Grant
• Time Restriction
• Region
• Revenue Type
• Sub Revenue Type
• Functional Expense

How SuiteKeys Work

As you can see in the screenshot below, one line item entry can have as many as 8 additional data entry points. By creating and using SuiteKeys, this will cut the data entry down to one. Choosing a particular SuiteKey will automatically populate the other segmentation fields.

Here are the steps to create a SuiteKey:

1. Create all the custom segment types that are needed for each transaction
2. Go to NFP Solution Center --> Data Management --> SuiteKey --> New
   1. This will take you to a record to create your SuiteKey
      1. As you can see, all the segmentations are associated with the SuiteKey.
      2. You now need to select the specific one(s) to associate with this SuiteKey.
      3. Click Save
