NetSuite User Multiple Subsidiary Access using Roles

Have you ever come across a situation in your NetSuite where a complex subsidiary structure necessitates assigning certain users to specific subsidiaries while excluding others. Although seemingly straightforward, managing this can be a bit more intricate due to the limitation within the employee/user record, which only permits the selection of a Primary Subsidiary. This grants access solely to that subsidiary and any child subsidiaries linked to the chosen parent. If you need to grant access to multiple subsidiaries without a hierarchical relationship, the following steps will help you out!

To fulfill this request, leverage custom roles to define which subsidiaries your users can access. 

Follow the steps outlined below:

1. Navigate to Setup > Users/Roles > Manage Roles.
2. Locate the custom role you wish to modify and click "Edit."
3. Within the edit mode of your custom role, scroll down to the "Subsidiary Restrictions" section and select "Selected."

1. Upon clicking "Selected," a prompt will appear allowing you to choose multiple subsidiaries from the list provided.
   1. Note: To select multiple subsidiaries, hold down the "CTRL" key while clicking on the subsidiaries of choice.
2. Save your changes.
3. Finally, confirm that the employee/user record is updated to grant access to the role you edited, which now includes access to multiple subsidiaries.

By following these steps, you can effectively manage access to multiple subsidiaries within your NetSuite instance. This way, everyone has what they need to do their jobs effectively, while you keep everything secure and organized.
