SuiteApp Overview Sales Return Accounting

When processing a customer return, specifically a credit memo, NetSuite traditionally posts a debit entry to the income account assigned on the item record being returned. You may want to modify this behavior and have NetSuite post this debit to a different account. While this is not possible out of the box, NetSuite has developed the Sales Returning Accounting SuiteApp, which allows you to modify how the system posts these transactions to the general ledger. Let’s take a look at the SuiteApp, which is free, and walk through the setup process.

 

Required Features

 

The SuiteApp requires the following features to be enabled:

 

  • Item Options
  • Custom Records
  • Custom GL Lines

 

Once these features are enabled, the SuiteApp can be installed by navigating to Customization > SuiteBundler > Search & Install Bundles. Search for Sales Return Accounting (ID 318158) and click install. The best practice here is to install it and test it in a Sandbox instance first, if one is available.

 

 

Role Permissions

 

Out of the box, the SuiteApp comes with an SRA Accountant role which has all the required permissions to use the SuiteApp. Specifically, the SRA Accountant role has the following permissions unique to the SuiteApp:

 

  • Sales Returns Account Mapping (Found under the Custom Records tab)

 

This permission can be added to existing roles, or the role can be assigned to an employee.

 

 

Configure the Plug-in

 

The SuiteApp comes with a plug-in which must be enabled. This can be enabled by an Administrator by navigating to Customization > Plug-ins > Plug-in Implementations.

 

  1. Look for the Sales Return Accounting Custom GL Plugin and click View.
  2. Click Configure and select the transaction types and subsidiaries you want to enable the plugin for.
    1. Note: The SuiteApp currently supports Credit Memo and Cash Refund. Other transactions may or may not work as of when this blog is posted.
  3. Click Save.

 

Creating Return Account Mappings

 

To create return mappings, navigate to Lists > Custom > Sales Returns Account Mapping.

 

  1. Click New Sales Returns Account Mapping.
  2. Select the Subsidiary.
  3. Select the Sales Account you would like to modify GL impact for.
  4. Select the Sales Return Account you want to use.
  5. Click Save.

 

The mapping is ready to use at this point, and it is recommended to create test transactions in a Sandbox environment to verify the expected outcome before deploying the changes to Production. Keep in mind the SuiteApp will not modify the GL impact of transactions already created; it will only modify the GL impact of new transactions created going forward.
