The Issues Management of Project Management

While many individuals working on a project have a good understanding of fundamental project management concepts like scope, timelines, updates, and budgets, there are several unspoken subtleties to consider when working with new clients/teams on a brand new implementation project.

 

Establish Clear Communication Channels

Clear communication is key to any successful project. As the project manager, you need to establish clear communication channels with your team and clients. Ensure that everyone is aware of the project’s goals, timelines, and expectations.  

Communicate often, clarify any uncertainties from either side, and encourage questions throughout the project. I make it a point to spend a little extra time in the beginning of the project to learn the communication styles of my clients. This extra time goes a long way during the project. Get to know each other, you may be working together for a while. 

 

Set Realistic Expectations

Before starting the project, set realistic expectations with your team and clients. Be honest about what can be achieved, and the timelines involved. This will help to manage expectations and prevent any misunderstandings or disappointments along the way. Gauge if there is room for flexibility or if the dates are firm. 

It is also important to ensure that everyone get on the same page with the software. You can organize training sessions or provide resources to help everyone understand the software's capabilities and how it will be used in the project. But if you don’t know the starting point of your client’s technical background, this can change the outcome of the project. It’s important to meet people where they are in their different levels. Get to know who you’re training and their level of comfort. Prepare to meet them and perhaps individualize certain training to get them to the finish line. 

 

Anticipate Issues and Address Promptly

After you achieve the scope, you can start anticipating the trouble areas. If issues arise during the project, it is important to address them promptly. Ignoring issues can lead to bigger problems down the line. Be proactive in identifying and addressing any issues as they arise. Approach the project knowing that there’s a likelihood that issues will come up. That way you’re playing offense instead of defense as these occur.  

One of the biggest unknowns in a project can be around the data. Have conversations around the data at the beginning phase of the project.  Chances are everyone is coming from a different angle around data; what it should contain, how they want it formatted, etc. Create a plan, ask for training if needed, and follow through.

However, with the right approach, communication skills, and attention to detail, you can successfully navigate the project and ensure that both your team and clients are satisfied with the implementation.
