Creating a Credit Memo with No Impact to Inventory

Returns can be a complicated process if the proper steps are not followed. The proper steps for returns in NetSuite include three to four records. This is the breakdown of that process RMA > Item Receipt > Credit Memo > Customer Refund (optional). As you can see, these are the required steps, but each one could be done by different users and cause delay if proper communication is not done.

This would skip the first two steps and allow you to not impact inventory if items are not actually being restocked. The Item Receipt tells the system whether you are restocking the item or going to write it off.

 

You would create a credit memo has normal and enter the customer along with any relevant information on the header fields. Then on the line, enter in the items but the quantity will be zero for any items not being restocked. The key to this is that items are not serialized, lot numbered, or using bins. This is for any standard item. Once you enter in zero and the correct amount you will most likely see this popup “The line total amount is not equal to the item price times the quantity. Is this correct? displays, click OK.”, you can save the credit memo. You could then go into the item record to verify that the item quantity did not increase as we told the item that zero quantity was being restocked.

 

This purpose eliminates the need to use the RMA to Item Receipt steps, but again only applicable to standard items not using bins, serialized, or lot numbered. The reason being that the system requires specific information on the inventory detail that a value of zero cannot be used. For those items, the RMA > IR > CM > CR (optional) would be needed. You could still dictate whether an item is being restocked on the item receipt in that process.
